The Society holds membership records containing names, addresses, telephone numbers and email addresses in both electronic format and hard copy.
The following officers have access to membership records: Chairman, Treasurer and Membership Secretary. Such records are not shared with any other organisation or individuals and are used for internal administrative purposes only.
The list of email addresses is solely used to inform members of Society news and events.
Memberships come up for renewal at the start of the new season in September although new subscriptions are also accepted at the June meeting. If a member has not renewed within two months a reminder is sent and, if there is no reply, all personal details are removed from our records.
Membership forms include a privacy statement that all members are required to sign: “I agree to my personal details being held by the Society for administrative purposes only”.
